Refund Policy

At Conceptial Media, we strive to deliver high-quality digital marketing solutions that drive growth for our clients. Because our services involve professional labour, creative assets, and third-party advertising costs, we have established the following refund guidelines.
- General Policy
All services provided by Conceptial Media are specialized, custom-tailored digital products and professional services. As such, all payments made to Conceptial Media are non-refundable, except under the specific circumstances outlined below.
- Service-Specific Terms
- Search Engine Optimization (SEO) & Management Services
SEO is a long-term process involving manual labour and third-party resources.
- Payments for monthly SEO, Social Media Management, or Content Marketing cycles are non-refundable once the billing cycle has begun and work has commenced.
- Clients may cancel future billing cycles by providing 30 days’ written notice.
- Pay-Per-Click (PPC) & Ad Spend
- Agency Management Fees: These fees cover the setup and optimization of campaigns and are non-refundable once the work has started.
- Direct Ad Spend: Payments made directly to platforms like Google Ads, Meta, or LinkedIn are controlled by those platforms. Conceptial Media cannot refund any budget already consumed by these third-party networks.
- Web Development & Graphic Design
- Milestone Payments: If a project is divided into milestones, payments for completed milestones are non-refundable.
- Cancellations: If a project is cancelled before the first draft or design is delivered, a partial refund may be issued, minus a 25% administrative and consultation fee. No refunds will be issued once a design draft has been delivered to the client.
- Non-Refundable Items
The following are strictly non-refundable:
- Setup fees for any digital campaign.
- Fees paid for domain registration or premium hosting services.
- Costs associated with third-party software or API integrations purchased on the client’s behalf.
- Work that has been reviewed and approved by the client.
- Refund Eligibility (Exceptions)
A refund may be considered only if:
- Conceptial Media fails to initiate the project within 15 days of the agreed-upon start date.
- A duplicate payment was made due to a technical error on our billing portal.
- The service was not delivered as per the scope of work defined in the signed Service Level Agreement (SLA).
- Chargebacks
We encourage clients to contact our billing department directly to resolve any discrepancies. Any unauthorized chargebacks or payment disputes will result in the immediate suspension of all services and the removal of any digital assets or access provided by Conceptial Media.
